D. USE CASE INSPIRED BY A REAL-LIFE SITUATION
A large company (10,000 employees) asked its manager to improve the processing of work stoppages. The triple entry of work stoppages is very tedious (HR software, Net-Entreprise, manager’s data entry interface). What’s more, the social partners report that employees are fed up with the delays in reimbursements, due to the various delays in data entry, processing by social security and requests for supporting documents (daily allowance payment slips requested from the company or the employee). A strike is even envisaged on the subject. The use of DSN évènementiels is not possible, as not all work stoppages can be declared in this way (e.g. stoppages on employees with no salary history). The company does not wish to have at least 2 different work stoppage declaration circuits, to avoid the risk of duplicate declarations.
The manager suggested using Smalltox ‘s EDI Machine to solve the problem. Smalltox then supports the company and the manager in implementing the solution.
- The company programs the call to Smalltox’s EDI Machine webservice from its HR tool.
- The manager schedules the integration into his tool of the information sent back to him by the EDI Machine module.
On installation, the following scheme is implemented:
- On D, the company enters the work stoppage in its HR software, which immediately triggers the following effects
- The Smalltox webservice is called up by the RHA J software, and the company enters the work stoppage in its HR software, which immediately triggers the following effects
- Smalltox teledeclares the work stoppage to the social security system and receives an acknowledgement of receipt (proof of declaration), which is sent back to the HR software and to the manager.
- Smalltox teledeclares the work stoppage to the administrator with the information he needs to process it, but which social security did not ask for (salaries over 12 months, etc.).
- On D+2 or D+3, Social Security sends Smalltox an acknowledgement of receipt (confirmation of processing, acceptance, rejection, request for additional documents), which is sent back to the administrator and the company.
- If the work stoppage is modified or terminated, the same circuit is used to modify or terminate the work stoppage.
- Social security sends the subrogated payment slips to Smalltox (free of charge, unlike Prest’IJ), which sends them back to the company and the administrator. No more need to request BPIJs!
- At D+franchise, the manager immediately activates the contract guarantee without asking the company for anything more.
Smalltox has alert systems in the event of failure to respond to a business or technical report within the social security deadline, and reports on work stoppages managed.
The manager is now able to provide the insurer with detailed reports on work stoppages, even those lasting less than the deductible, enabling a much more detailed preventive approach with the company.
